Adding a Shared Account Mailbox
There are two ways to setup the shared account in Outlook -- adding an additional mailbox and adding a new account
Open an Additional Mailbox - this will add the mailbox and allow you to send and receive email. The messages you send will appear in your Sent Items folder.
Launch Outlook.
Click File | Info | Account Settings | Account Settings.
On the Email tab, select your Microsoft Exchange account under the Name column and choose Change.
Click More Settings.
Click on the Advanced tab. Click the Add button located to the right of “Open these additional mailboxes.”
Type the account name for the shared account (e.g. CLAS Scholarships) and click the OK button.
Check - Use Cached Exchange Mode.
Uncheck - Download Shared Folders.
Select OK |Next| Finish.
Adding a Second Exchange Mailbox -- this will allow you to send and receive from the shared account however, the messages you send will appear in the Sent Items of the Shared Account.
Choose Start | Control Panel | Mail.
Select Email Accounts.
Click New.
Click Manual setup or additional server types.
Click Next.
Select Microsoft Exchange server or compatible service.
Click Next.
In the Server: field, type email.osu.edu
In the User Name field, type the shared account name (e.g., helpemail).
Click Next.
Click Finish when you see the message "You're All Set!"
Restart Outlook.
Select the Inbox for the new account that you just added.
On the Home tab click the Junk drop down menu.
Select Junk E-mail Options from the bottom of the menu.
Select No Automatic Filtering.
Uncheck Permanently delete suspected junk email.
Click OK.
Sending a Message from a Shared Account Mailbox
In order to send a new message—so that it appears to come from the shared/departmental account—start a new e-mail message, select the Options tab from the Ribbon Tab Bar. Select the Show From field so that the "From..." header appears in the new message, and enter the shared account in the "From..." field.
